WHO YOU’LL WORK WITH
You will join our Office Services team in Munich, a collaborative, service-oriented team of highly accomplished professionals that plays an integral role in delivering an exceptional experience for clients, visitors, and Bain colleagues each day. The team holds responsibility for facility management, events and catering, and the end-to-end coordination of all office-related services.
Office Services partners work closely with stakeholders across all functions across Germany and Austria including consulting teams, Executive Assistants, IT, and Recruiting to enable seamless day-to-day operations and sustain a welcoming, professional office environment.
In this role, you will engage with colleagues at all levels of the organization and contribute to the high-performance, people-first culture that defines Bain.
WHAT YOU’LL DO
- Representing the company at the front desk, performing general front-desk duties, ensuring the smooth operation of all front-desk facilities, and providing excellent customer service to external clients and visitors as well as Bain colleagues
- Meeting and greeting clients and visitors to Bain and direct them accordingly, ensuring the relevant Bain host is informed of their arrival
- Handling all incoming phone calls in both German and English in a friendly and professional manner, ensuring correct protocol for all types of calls and directing them accordingly
- Monitoring the security system with computer-controlled access permissions, including data entry and management of access cards in accordance with applicable security standards
- Managing and coordinating conference room bookings with particular attention to catering requests, liaising with the catering team where needed, supporting the conference team during busy periods
- Coordinating mail and courier services with external service providers, as well as assisting with other mail and printing orders
- Supporting operations in our in-house cafeteria
ABOUT YOU
- You are a service-oriented professional with impeccable manners who remains calm and composed, even in demanding situations.
- You demonstrate initiative, work conscientiously, and are highly reliable.
- You possess a high degree of flexibility and adaptability.
- You have excellent German and English language skills, both written and spoken.
- You are proficient in using computers and have strong MS Office skills.
- Ideally, you already have experience in the areas of responsibility mentioned above.
- You enjoy working in a team and value a collaborative working environment.
