Working Student – Office Management (m/f/d)

We are looking for a Working Student – Office Management to support the day-to-day operations of the Berlin office and contributes to an efficient, well-organized, and welcoming work environment. The role provides administrative, organizational, and operational support to employees, visitors, and management while ensuring smooth office operations.

Key Responsibilities

  • Office Administration & Coordination
  • Support the daily administration and operation of the office.
  • Manage office supplies and place orders as required.
  • Coordinate maintenance requests and liaise with external vendors and service providers.
  • Support facility-related activities and ensure office spaces remain organized and functional.
  • Monitor shared office resources and equipment.
  • Employee & Visitor Support
  • Welcome visitors and ensure a professional visitor experience.
  • Assist employees with office-related requests and inquiries.
  • Support onboarding activities for new hires, including workspace preparation and office access arrangements.
  • Coordinate distribution and return of office equipment, access cards, and other office resources.
  • Organizational Support
  • Assist in organizing internal meetings, team events, and office activities.
  • Support booking and preparation of meeting rooms.
  • Coordinate catering and logistics for meetings and events as needed.
  • Assist with document administration, filing, and records management.
  • Vendor & Service Coordination
  • Serve as a point of contact for office suppliers and service providers.

Qualifications

  • Enrolled student at a university or equivalent higher education institution.
  • First experience in administration, hospitality, office management, or a customer-facing role is an advantage.
  • Strong organizational skills and attention to detail.
  • Proactive, reliable, and service-oriented approach.
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Office applications (Outlook, Teams, Word, Excel, PowerPoint).
  • Fluent German and good English skills, both written and spoken.

Working Hours: Up to 15 hours per week during the semester, subject to local legal requirements and business needs.
