About The Role

We are looking for a motivated and organized Working Student (m/f/d) - Administration to support our HQ office with a variety of administrative and organizational tasks. This role offers hands-on experience in office management, event coordination, travel organization, and day-to-day business operations. You will work closely with different teams and help ensure a smooth and efficient office environment.

Your Responsibilities

Office Management & Administration

  • Support the day-to-day operations of the HQ office
  • Assist with correspondence, letters, and document preparation
  • Manage office supplies and coordinate orders when needed
  • Support filing, record-keeping, and administrative processes
  • Help maintain accurate administrative documentation and databases

Meeting & Event Support

  • Assist in organizing internal meetings, workshops, and team events
  • Prepare meeting rooms, presentations, and materials
  • Coordinate meeting logistics, invitations, and schedules
  • Support guests and visitors during office events

Travel & Logistics Coordination

  • Assist with booking business travel, accommodation, and transportation
  • Support travel documentation and expense-related administrative tasks
  • Coordinate logistics for visitors, employees, and external partners

General Business Support

  • Provide administrative support to different departments and stakeholders
  • Assist with invoice processing and procurement-related activities
  • Help coordinate internal communication and office announcements
  • Support special projects and ad hoc administrative tasks as required

What You Bring

  • Currently enrolled in a university program, ideally in Business Administration, Management, Economics, Communications, or a related field
  • Strong organizational skills and attention to detail
  • Proactive and service-oriented mindset
  • Good communication and interpersonal skills
  • Ability to manage multiple tasks in a structured manner
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Fluency in German and English
  • Must remain enrolled as a student for at least 1-2 additional years
  • Availability to work 20 hours per week during the semester
