As Working Student/ Assistant to CMO and CCO (m/f/d), you will be a key liaison within the international management team, contributing significantly to smooth operations at the executive level with your strong organizational skills, proactive approach, and professionalism.
You will coordinate meetings, travel, and events, maintain a clear overview of the CMO’s and CCO’s calendar and act as a reliable point of contact for internal and external stakeholders. In this role, you will work closely with the Executive Committee and international subsidiaries, making a vital contribution to effective collaboration within SYNLAB International.
Responsibilities:
- Travel & Agenda Management: Comprehensive travel organization, including agenda planning, booking flights, hotels, rental cars, e-visas, and travel documents
- Executive Support: Organization, preparation, and follow-up of meetings and congress participation (virtual & in-person), especially the participation in diverse Advisory Boards (Medical or Legal), including agenda creation, participant management, and minutes or follow-up actions.
- Meeting & Committee Management: Coordination of internal CMO and Legal/Compliance meetings, as well as external meetings with potential cooperation partners, universities, consultants, shareholders, key opinion leaders and steering committees.
- Administrative Coordination: Vacation management, on-site support and cover for absences and vacations within the support team.
- Meeting & Training material preparation: Creation and preparation of PowerPoint presentations for diverse internal and external purposes, be it professional presentations at diverse Congresses (Medical or Legal), or the preparation of internal training materials.
Qualifications:
- Professional Experience: Working student (law, law and administration, business administration etc.), first experience as Executive Assistant, Management Assistant, or Team Assistant, ideally in an international corporate environment.
- Organizational Skills: Strong organizational and prioritization skills, as well as a high degree of structure and reliability.
- Communication Skills: Excellent written and verbal communication skills and a confident demeanor when interacting with internal and external stakeholders.
- Language Skills: Excellent written and spoken English; German and other EU languages are an advantage
- IT & Systems Skills: Full Proficiency in MS Office; especially PowerPoint, ideally experience with digital HR and travel tools
- Work Style: Structured, proactive, self-organised and discreet work style with a high degree of personal responsibility
- Personal Qualities: Strong service orientation, flexibility, and a pronounced team spirit
- Resilience & Composure: Professional handling of confidential information and the ability to maintain composure even in a dynamic environment
Working location: remote
Part time: 15-20 hours per week
